Smart Match is an AI-powered feature within RLDatix’s BankStaff+ platform that automatically identifies the best-fit bank workers for temporary staffing duties, including urgent and very urgent shifts, and sends them direct one-click booking notifications via the Loop app. It replaces manual, labour-intensive outreach with an intelligent, data-driven approach to bank shift fill.
Smart Match uses an AI model trained on each organisation’s own worker booking history. Every hour between 6am and 10pm, seven days a week, it automatically analyses requirements including urgent and very urgent unfilled duties, ranks bank workers by their statistical likelihood of booking each shift, and sends targeted notifications through Loop. Booking rules are checked before any notification is sent, so workers are only offered duties they are eligible to work.
Smart Match eliminates the need for manual outreach to bank workers. It automatically identifies and notifies the most suitable workers for urgent duties, reducing administrative burden by around 20% (evidenced in pilot sites), freeing teams to focus on wider workforce goals rather than reactive firefighting to maintain safe staffing levels.
Smart Match directly reduces agency spend by substituting expensive agency shifts with lower-cost bank fill. A 26% reduction in agency fill was achieved at pilot sites. For existing BankStaff+ customers, Smart Match is included at no additional cost, making the ROI case straightforward. A bespoke savings calculator is available, tailored to each organisation’s bank staff numbers and current agency spend.
Workers receive direct, one-click booking notifications for shifts that match their preferred working days, hours, units, and specialist skills — based on their recent booking history. They no longer need to proactively search for shifts or risk missing duties. Smart Match also ensures fair, transparent access, replacing informal outreach methods such as WhatsApp messages.
Smart Match requires Optima and Loop (BankStaff is optional). The AI model uses a platform called Frontier, proprietary to Faculty, an RLDatix development partner. The model requires data to pass continuously between Optima and the AI model via two internal components (DataPump and Orchestrator) to keep booking, suitability, and availability data up to date
Smart Match is available to any healthcare organisation in the UK and Ireland that holds a BankStaff+ licence and uses Optima for workforce management. The key criterion is having a large cohort of bank staff.
